Integrating paper documents into electronic business processes is the key to leveraging a company’s investment in expensive back-end software and MFP hardware. But making scan capture easy while also delivering a unified user experience across the enterprise can be a challenge. eCopy ShareScan 5, from Nuance Communications, solves the problem. Thanks to its complete feature set, stellar ease of use and other attributes, eCopy ShareScan 5 has been selected as “Outstanding Document Capture/Routing Solution” in BLI’s Summer 2011 “Pick” awards.
ShareScan lets the vast majority of networked MFPs serve as the entry point for paper documents to merge into an organization’s digital workflow. It enables users to easily scan paper documents and integrate them into more than 100 leading business applications, such as enterprise content management (ECM) software, document management repositories, fax software, collaboration platforms (including Microsoft SharePoint) and more. Routing these documents directly into electronic workflows not only speeds access to information, but also enhances information security through the use of document audit trails, document rights and encryption.
In BLI’s lab tests, ShareScan distinguished itself as a significant upgrade that delivers a range of new features and enhancements—effectively making what was already one of the most impressive document capture and routing platforms even better. BLI technicians were particularly impressed with the latest version’s new features such as Nuance’s Personalized Scanning innovation, which allows scanning menus to be tailored to specific individuals or workgroups after they log in at the MFP, further streamlining daily chores. Another innovation comes courtesy of Nuance’s OCR (optical character recognition) engine, which allows users to have the program automatically redact (black out) or highlight particular text strings in a captured document.
“There are many ways to leverage an MFPs scan-capture abilities, but none offer the same level of functionality, MFP compatibility, and application connectivity as ShareScan,” said Jamie Bsales, senior product editor for solutions at BLI. “The platform is also terrifically easy to use for administrators and end users alike, ensuring that the investment won’t go to waste.”
ShareScan clients are available for the embedded software platforms of MFPs from Canon, Konica Minolta, Ricoh and Xerox. And the vast majority of other MFPs are addressable via the eCopy ScanStation add-on solution. This support enables the implementation of a single scanning interface across a fleet of diverse MFPs, which cuts down on end-user training.
